    How to make a payment receipt

    1. Enter your business details once: name, address and phone. A GSTIN is optional.
    2. Write who paid you and, if you like, their phone number, so you can send the receipt on WhatsApp.
    3. Enter the amount and how it was paid: cash, UPI, cheque, bank transfer or card. For UPI or cheque, add the transaction or cheque number.
    4. Add what it was for, such as an invoice number, an advance or a month's rent.
    5. Part payment? Open "Part payment?" and enter the bill amount and anything paid earlier. The receipt then shows the balance still due.
    6. Download the PDF or share it on WhatsApp. Each receipt is saved on this device and the next one gets the next number.

    What a receipt should show

    • Your business name and contact details
    • A receipt number and date
    • The name of the person who paid
    • The amount in figures and in words, so it can't be changed later
    • How it was paid, with the UPI, cheque or transaction reference
    • What the payment was for, and any balance still due
    • Your signature

    Example

    A tailor receives ₹1,500 in cash as an advance on a ₹4,000 order:

    When the customer pays the rest, make a second receipt with "Paid earlier" set to ₹1,500. It then shows "Fully paid".

    Cash, cheques and rules to know

    • Cash of ₹2 lakh or more: income-tax rules do not allow a business to receive ₹2 lakh or more in cash from one person in a day, or for one transaction or event. Take such amounts by cheque, UPI or bank transfer.
    • Cheques: write "subject to realisation" in the notes if you give the receipt before the cheque clears.
    • Revenue stamp: some states' stamp laws ask for a ₹1 revenue stamp on receipts for larger cash amounts (often above ₹5,000). Check your state's rules.
    • GST advances: a GST-registered business that receives an advance for services must issue a "receipt voucher" showing the tax. This tool makes a plain payment receipt, not a GST receipt voucher.

    Frequently asked questions

    Is a receipt made on the phone valid?

    Yes. A receipt is proof that you received money. It needs the details above and your signature. You can sign the printout, or send the PDF from your business number so the customer knows it came from you.

    Can I show the balance amount on the receipt?

    Yes. Open "Part payment?" and enter the total bill amount and anything paid earlier. The receipt shows the balance due, or "Fully paid" when nothing is left.

    Where are my receipts saved?

    Only on this device, under "Saved receipts". Nothing is uploaded. Download a backup regularly, and use "Export to Excel" for a list of all receipts.

    Can I send the receipt directly to the customer's WhatsApp?

    Yes. On a phone, "Share on WhatsApp" sends the PDF itself. On a computer it opens WhatsApp with a short message to the number you entered and downloads the PDF for you to attach.

    Does the amount in words work in Marathi and Hindi?

    Yes. Switch the page language at the top and the amount in words is written in that language, for example "रुपये पाच हजार फक्त".
